When you create an account, we collect your username, password (stored as a bcrypt hash), and the museum/organization name you provide. We do not collect personal information beyond what you enter into the system.
The records, photos, member information, and other data you enter into AzureArchives belong to you. We store this data solely to provide the Service. We do not analyze, sell, or share your collection data with anyone.
When you use the donation slip scanning feature, the image you capture is sent to Anthropic's Claude API for text extraction. The image is processed in real-time and is not stored or used for training by the API provider. No other data is sent to AI services.
Photos and uploaded files (such as newsletter PDFs) are stored on Backblaze B2 cloud storage, organized by tenant. Files are not publicly accessible unless you explicitly enable public visibility for specific records.
We use a session cookie to keep you logged in. We do not use tracking cookies, analytics services, or advertising cookies.
Each museum/organization operates in its own tenant with a unique subdomain. All database queries are scoped by tenant ID. Your data is never mixed with or accessible to other tenants.
You can export your data at any time via the built-in CSV export. We believe your data is yours and you should always be able to take it with you.
We retain your data for as long as your account is active. If you cancel, we will retain your data for 30 days to allow for export, after which it may be deleted. We will notify you before any deletion.
Passwords are hashed with bcrypt. The database is hosted on managed infrastructure with encrypted connections. We follow reasonable security practices but cannot guarantee absolute security.
We will notify you of material changes to this policy via the email address on your tenant account at least 30 days in advance.
